URMIA releases findings from two recent member surveys on social media and host family programs

Managed risk and facilities management, a balancing act

In the broadest sense, risk is anything that keeps an organization from achieving its objectives. Risk management is the process of determining what can go wrong and developing strategies to prevent these events from happening (and if they do happen, mitigating loss). According to Glenn Klinksiek, content manager for the knowledge center at the University Risk Management and Insurance Association (URMIA) in Bloomington, Ind., URMIA has identified more than 250 areas of risk for colleges and universities. “Of these, nearly 30 are facilities related and are associated with institutional strategy, operations and compliance,” he says.

Each month, this article provides some of the latest risk management resources, as well as a calendar of upcoming events, webinars, conferences and other learning opportunities in which you or your campus colleagues may be interested.

Risk management resources

  • Policing Off-Campus Communities at Institutions of Higher Education, The National Center for Campus Public Safety (NCCPS). This document addresses the interface of campus police and the community. According to NCCPS, a group of campus public safety executives discussed best practices in sharing campus law enforcement responsibilities with local partners and establishing and maintaining positive, supportive and effective relationships with off-campus communities. This led to a series of core principles identified for institutions of higher education (IHE), including:
    • IHEs must do more to help local agencies understand the roles, responsibilities and needs of their campus law enforcement agencies.
    • IHEs and local agencies must work together more to share crime information for the purpose of complying with the Clery Act and Title IX.
    • Campus and local law enforcement authorities that physically work together and formalize their expectations of each other are better positioned to meet overall campus and community expectations.
  • Social Media Use in Higher Ed Risk Management, URMIA member survey (June 2016). In a previous survey on the use of social media in higher education risk management, conducted in December 2010, 81 percent of respondents felt the industry would adapt to using social media as the next generation of risk management professionals were integrated into the workplace. This survey, however, indicated there has been no change in the use of social media for risk management purposes over the last five + years. The survey found:
    • Less than half of the responding institutions have a social media policy/procedure.
    • 85 percent of risk management professionals are not utilizing social media for their work.
    • Lack of resources, uncertainty about what to share and inadvertent disclosure of sensitive information/privacy concerns are three primary reasons for not adopting social media for risk management purposes.
  • Host Family Programs, URMIA member survey (August 2016). URMIA conducted this survey to find out what steps institutions with “host family” programs take to manage the risk. Some colleges and universities partner with local families to host students. The attraction is for the family to share their experiences with foreign students while the institution gains housing for their international students either on a short-term or extended time frame. The issue is the institutional responsibility that might exist for the safety of the family and the student. Unfortunately, because of the low response rate to this survey, these results are not necessarily representative of actual practices. However, findings may still be of interest.
  • URMIA Risk Inventory, URMIA member survey (July 2016). URMIA conducted a survey to find out if the new URMIA Risk Inventory is helpful to its members. The Risk Inventory was introduced at the 2015 URMIA Annual Conference and has been updated twice since. URMIA also sought any suggestions for improvement from members. The survey found:
    • Nearly all who reviewed the Risk Inventory found it to be useful.
    • The Risk Inventory has been useful for looking for gaps in risk assessments, and some have initiated mitigation strategies after discovering new risk issues.
    • The Risk Inventory is useful in other ways than simply in risk identification.
  • Gallagher Student Health Snapshot Newsletter, Gallagher Higher Education Practice. Starting in September 2016, this free, semi-monthly industry snapshot newsletter provides a reliable, scholarly source of recent events and pressing issues to explain, evaluate and address issues in the world of higher education student healthcare. Subscribe today to receive media highlights and summaries of industry updates, challenges under the Affordable Care Act (ACA), state/federal regulatory issues and major market influences impacting your insurance programs in ways you may not have considered.
  • Insurance Broker RFP Tools: Broker Bid - Phase 1 (RFQ) and Broker Bid - Phase 2 (RFP), Westmont College. Thank you to Troy Harris of Westmont College for posting new insurance broker RFQ/RFP materials to the URMIA Library. Westmont College conducted its 2014 brokerage bid process in two phases. Both the RFQ and RFP were expressly designed to elicit the minimum effort on the part of the proposing firms yet yield the crucial input that would enable a solid conclusion.

Iowa State University’s “Safefood 101” receives URMIA's Innovative Risk Management Solutions Award

By Anita Ingram, Assistant Vice President and Chief Risk Officer for University of Cincinnati and Co-Chair of the URMIA Honors Committee.

The URMIA Honors Committee created the Innovative Risk Management Solutions Award in 2007 to achieve three goals: recognize creative efforts, share solutions and promote innovation. We are proud to award Iowa State University's (ISU) Student Organization Food Service Training, "SafeFood 101," with the 2016 Innovative Risk Management Solutions Award. During the 47th Annual Conference in San Diego, three representatives from ISU, Susie Johnson, director of risk management; Kurt Beyer, risk analyst; and Joseph Rayzor, claims coordinator, were recognized for this project. I had the pleasure of delivering the award, and together with the Honors Committee, we felt the applicability of this training for fellow URMIA members was so broad that we wanted to share it as soon as we could with the rest of our membership.
